The horror stories you hear about China imports almost always share one detail: the buyer never ordered a proper sample before placing their production order. A $300 sample can save you from a $30,000 mistake. Here is what you need to know to make sampling work.

What is a golden sample?

A golden sample is the exact, agreed-upon version of your product that both you and the factory approve before mass production begins. It becomes the physical reference standard — every unit from the production run is supposed to match it.

Once you approve the golden sample, insist the factory keeps a copy on file. If a dispute arises later, you can compare production units against the approved benchmark rather than arguing over vague descriptions in an email chain.

Should you pay for samples?

Most factories charge for samples — usually somewhere between $20 and $200 depending on complexity. That is reasonable. Be more cautious about free samples: some unscrupulous suppliers send impressive free samples that bear no resemblance to what comes off the actual production line.

If the sample fee feels high relative to the unit price, negotiate. Factories commonly waive or refund sample costs once you place a confirmed order. What you should not do is skip the sample to save money upfront.

What to actually test

Receiving the sample is only the start. Put it through realistic conditions:

  • Dimensions and tolerances. Measure against your specifications. If it needs to fit inside another product or packaging, test that fit physically.
  • Material and finish. Is the plastic thick enough? Does the fabric feel like the described GSM? Does the colour match your Pantone reference?
  • Function under load. A bag strap should be pulled. A hinge should be opened hundreds of times. A button should be pressed repeatedly.
  • Labelling and compliance. Check that CE marks, UL ratings, country-of-origin labels, or safety warnings are present and legible if your market requires them.
  • Packaging. Request a sample packed the way it would be shipped. This reveals whether the inner box is adequate and whether units will arrive intact.

Document every test with photos and notes. If you need adjustments, send clear written feedback rather than verbal requests — vague comments get lost.

How many rounds should you expect?

Budget for at least two rounds: the initial sample and a confirmation sample after your feedback is incorporated. Complex or technical products often need three. Each round adds time — typically two to four weeks per cycle — so factor this into your overall project timeline.

Why sampling prevents disasters

Skipping sampling and jumping straight to a full order creates situations that are very difficult to resolve once goods are shipped:

  • Defects discovered after arrival mean you are negotiating from a weak position (the goods are already with you).
  • Return shipping to China often costs more than the goods are worth.
  • Chargebacks and disputes take months and are not guaranteed to succeed.

A properly tested sample shifts leverage back to you. If the production run does not match the golden sample, you have documented proof for every conversation that follows — with the supplier, your insurer, or your bank.

What comes after sampling
